We are seeking a skilled and experienced Administration Manager who will play a key role in ensuring the company runs smoothly, professionally, and efficiently.

 
 

Position Overview


The Administration Manager will oversee all administrative operations, support daily property management tasks, coordinate communication among internal teams, and ensure smooth functioning of both client-facing and back-office operations.
This role requires someone highly organized, detail-oriented, and experienced in real estate sales or property administration. The ideal candidate brings strong operational discipline and excellent communication skills.

 

 

Key Responsibilities


1. Office & Operations Management

Oversee daily administrative operations of Rizton Properties’ office and departments.
Manage office supplies, procurement, vendor relationships, and service providers.
Maintain organized company records, contracts, and operational documents.
Implement operational policies and improve internal administrative processes.


2. Property Administration

Assist with lease documentation, renewals, tenant onboarding, and move-out processes.

Support property inspections, maintenance scheduling, and contractor coordination.
Maintain accurate tenant, property, and compliance records.
Assist in managing property management systems and digital files.


3. Financial & Administrative Coordination

Assist with rent collection records, invoicing, petty cash management, and vendor payments.
Prepare expense reports, budget summaries, and operational cost updates.
Work closely with accounting to ensure accurate reconciliation and reporting.

 
4. HR & Team Support

Support recruitment, onboarding, and evaluation of administrative and support staff.
Maintain staff files, leave calendars, and performance review reminders.
Assist CEO and department heads with schedules, meeting preparations, and travel coordination.
Manage social media marketing team, content production, and ensure day-to-day social media operations run smoothly.


5. Customer Relations & Communication

Handle calls, emails, and walk-in inquiries professionally.
Liaise with tenants, property owners, and service providers as needed.
Draft official letters, notices, memos, and document templates.


6. Compliance & Reporting

Ensure all administrative processes meet legal and regulatory requirements.
Prepare weekly and monthly administrative performance reports.
Coordinate documentation for compliance audits or inspections.


Required Qualifications

 

Education

Bachelor’s degree in Real Estate Sales, Real Estate Management, Business Administration, or a related field (Required).

 

Experience
  • 3-5 years of administrative or operational experience.
  • Previous roles in real estate, property management, facilities coordination, or property administration strongly preferred.
  • Experience supervising staff or managing office operations.

 

Skills
  • Excellent organizational and time-management ability.
  • Strong communication skills (written & verbal).
  • Proficient in Microsoft Office, Google Workspace, and digital workflow tools.
  • Familiarity with property management software (e.g., Buildium, Yardi, AppFolio, or any local management softwares) is a plus.
  • Financial literacy: invoicing, petty cash, reconciliation.
